Privacy Policy
This policy explains what personal information OneMedy collects when you request a quote, subscribe to our newsletter or sign up for order updates, why we collect it, who we share it with, and the choices you have over it.
OneMedy sells, rents and services medical equipment for healthcare facilities. To do that, we collect information from the people who contact us — usually staff at hospitals, clinics and practices acting on behalf of their organization. We take that seriously, because the people who trust us with equipment decisions should be able to trust us with their contact details too. This policy is written to be read, not just filed.
01 Who we are
In this policy, "OneMedy," "we," "us" and "our" mean OneMedy, a medical equipment supplier based in Houston, Texas. We are the party responsible for the personal information described here — in privacy law terms, the "controller" (or, under U.S. state laws, the "business").
02 What information we collect
We only collect what we need to answer your request and run our business. Almost all of it comes directly from you, through a form on this site, an email, a phone call or a visit to our showroom. The table below maps what we collect to where it comes from — these are the exact fields our forms ask for.
Information you give us directly
Information we collect automatically
When you visit onemedy.com, our hosting provider records basic technical information in server logs — your IP address, browser type, the pages you view and the date and time. The contact page also loads a Google Maps frame; when it does, Google may receive your IP address and set its own cookies under Google's privacy policy. We do not run advertising trackers or sell browsing data.
We don't ask for health information. Our forms are for equipment purchasing, not patient care. Please don't send us protected health information (PHI) about patients — we don't need it, and it doesn't belong in a quote request.
03 How we use your information
We use the information above to:
- Respond to your quote, rental, service, parts or trade-in request, and prepare pricing for you.
- Contact you about that request by your preferred method, and follow it through delivery, installation and the first service visit.
- Fulfill and support orders — arranging freight, install, training, warranty and ongoing maintenance.
- Process invoices and payments, and keep the records our accountants and auditors require.
- Send you the newsletter or SMS updates, only if you asked us to (see section 5).
- Answer general questions and career inquiries.
- Keep our site secure, prevent fraud and misuse, and meet our legal and regulatory obligations.
- Improve our service and understand which equipment categories our customers ask about most.
We do not use your information to make decisions about you by automated means alone, and we do not sell it.
04 Why we're allowed to use it
Most of our customers and this site are in the United States, where we rely on your request and our legitimate business interest in responding to it. If you are contacting us from a region with a data-protection law such as the EU/UK GDPR, the legal bases we rely on are:
- Your request / a contract — to answer your inquiry and to supply and service equipment you order.
- Consent — for the newsletter and SMS updates, which you switch on yourself and can switch off at any time.
- Legitimate interests — to run, secure and improve our business, where that isn't overridden by your rights.
- Legal obligation — to keep tax, accounting and medical-device records the law requires us to keep.
05 Newsletter and SMS updates
Marketing is separate from your request, and it is opt-in. When you submit a form, we contact you about that specific request whether or not you subscribe to anything. The newsletter and SMS updates are extra, and only start if you turn them on.
Email newsletter
If you opt in, we send the topics and at the frequency you chose — new and refurbished stock, price drops, service reminders and regulatory notes. Every newsletter has a one-click unsubscribe link, and we honor it promptly. We don't add you to any third-party lists and we don't share your address with other senders.
SMS order and service updates
If you opt in to texts, we use your number to send delivery windows, install confirmations and repair status. Message and data rates may apply, message frequency varies, and you can reply STOP to any message to cancel or HELP for help. Consenting to texts is never a condition of buying anything from us. We do not share your mobile number with third parties for their own marketing, and mobile opt-in data is not sold.
Changed your mind? Use the unsubscribe link in any newsletter, reply STOP to any text, or email contactus@onemedy.com and we'll update your preferences. Turning off marketing never affects a quote or an order.
07 How long we keep it
We keep personal information only as long as we have a reason to, then delete or anonymize it. In practice:
08 How we protect it
We use reasonable administrative, technical and physical safeguards to protect personal information — encryption in transit (this site and our mail run over TLS), access limited to staff who need it, and vetted providers under confidentiality terms. No method of transmission or storage is completely secure, so we can't promise absolute security, but we work to protect your information and to respond quickly if something goes wrong. If a breach ever affects your information, we will notify you and the relevant authorities as required by law.
09 Your rights and choices
Depending on where you live, you may have some or all of the following rights over your personal information:
- Access — ask what we hold about you and get a copy.
- Correction — ask us to fix information that's wrong or out of date.
- Deletion — ask us to delete it, subject to records we're required to keep.
- Opt out of marketing — unsubscribe from email or reply STOP to texts, any time.
- Portability — receive certain information in a portable format.
- Object or restrict — object to or limit certain processing.
- Non-discrimination — we won't treat you differently for exercising these rights.
Texas residents. The Texas Data Privacy and Security Act gives Texas consumers the rights to access, correct, delete and obtain a copy of their personal data, and to opt out of targeted advertising, sale of personal data, and certain profiling. We do not sell personal data or use it for targeted advertising. You may appeal a decision we make on your request by replying to our response.
To exercise any right, email contactus@onemedy.com or call 281 842 5640. We'll verify your request — usually by confirming details you've given us before — and respond within the timeframe the law allows. You can use an authorized agent, and we won't charge you for a reasonable request.
11 Children's privacy
OneMedy sells to businesses and healthcare professionals. Our site and services are not directed to children under 13, and we don't knowingly collect their information. If you believe a child has given us personal information, email us and we'll delete it.
12 Changes to this policy
We may update this policy as our business, technology or the law changes. When we do, we'll change the "last updated" date at the top, and for significant changes we'll give clearer notice — for example, an email to subscribers or a notice on the site. Continuing to use onemedy.com after an update means the current version applies.
